OUR EXPERTISE

AI Assistants and Workflow Automation

An AI assistant is a software component that helps interpret a customer's question and respond using approved information sources. VH Medya considers the assistant within the customer journey and operational workflow, rather than as an isolated chat box. Its question scope, escalation rules and permitted actions need to be defined in advance. The boundaries of automation matter as much as the speed it may provide.

Define the knowledge and response responsibilities

The starting point is organised service documentation, product information and frequently asked questions. Outdated or contradictory sources can cause poor answers regardless of the model used. Information owners and update procedures therefore need to be explicit. Variable information such as pricing, delivery times and contractual conditions is limited to verified sources. When the assistant lacks an answer, it should explain the limitation and provide an appropriate route to a responsible person.

Turkish and English responses require more than grammatical review. Service scope, limitations and contact routes should remain consistent in both languages. Test questions resemble realistic customer situations. Ambiguous, irrelevant and misleading requests also need defined handling. A generated sentence should not silently become a new commercial commitment. Decisions and approvals outside the assistant's scope are transferred to the relevant human process.

Separate information access from operational actions

An assistant that only explains services has different requirements from one connected to customer systems. Collecting an appointment request, reading a customer record and changing an order are different actions with different permission and validation needs. Each integration considers the required fields, user identity and access limits. External content is treated as data rather than an instruction source. Sensitive records must not appear in public responses or error messages.

Workflow automation documents the trigger, conditions, action and failure behaviour. Moving a new form record to a project system, for example, should not create duplicates when a notification repeats. A temporary service outage should not cause the record to disappear. Queues, controlled retries and human alerts may be appropriate. Before telling the user an operation has completed, the result in the destination system needs verification. A success message inside the chat interface alone is insufficient.

Validate a limited pilot

The first release can focus on a narrow knowledge area. Test cases cover supported answers, unavailable information, conflicting sources and escalation. Review considers answer usefulness, grounding and avoidance of unnecessary personal data. Cost and response time are measured with realistic examples. Unmeasured accuracy or savings percentages are not added to promotional content. Provider and infrastructure choices follow the actual requirement instead of assuming one configuration suits every organisation.

For example, a software company's assistant might explain services and list the general information needed for a proposal. It can direct questions about a final price, legal interpretation or unapproved delivery date to the relevant team. Unanswered pilot questions then help improve the knowledge base. Experimental interaction methods such as gaze or camera-based control require a separate prototype and feasibility review. Installing a support assistant does not imply that those capabilities already exist or are ready for production use.

Scope, delivery and next steps

The initial discussion establishes the business need, existing systems and intended outcome. Included work, access dependencies and the information or approvals required from the client are recorded clearly. The proposal considers responsibility for updates and maintenance alongside the first delivery. This gives everyone a shared understanding of what will be assessed and when a deliverable can reasonably be considered complete.

Implementation is divided into manageable steps with practical acceptance criteria. Each result is checked through a realistic usage scenario. Missing access or unavailable data is recorded as a limitation rather than presented as a measured outcome. Delivery distinguishes the action taken, the evidence observed and any remaining verification. Further improvements are prioritised by value, effort and dependencies. To discuss your project, share your website, the service that matters most and the problem you want to resolve. Private credentials do not need to be included in the initial message; an appropriate access method can be arranged within the agreed scope.
